Privacy Policy

Last updated: October 17, 2026

909 Bookkeeping provides monthly bookkeeping and nothing else. This policy explains what information we collect, how we use it, and the choices you have. It is written in plain language. Nothing here is tax, legal or investment advice.

Information we collect

  • Contact details you give us on our contact form: name, email, phone (if you provide it), business name, and the details you select about your software and books.
  • Accounting data we view inside your QuickBooks Online or Xero file when you grant us access. This includes transactions, account balances, and reports needed to categorize, reconcile and close your books.
  • Bank feed data delivered through your accounting software. We use read-only bank feeds. We do not move money and we never ask for your online banking password.
  • Messages you send us by email or phone, including the one monthly list of questions and your answers.

How we use it

  • To categorize, reconcile and close your books each month.
  • To prepare your monthly financial package and answer your questions.
  • To send you a fixed quote and reply to your messages.
  • To answer your CPA's questions about the books, if you ask us to.

We do not sell your information. We do not use your data to market other services to you, because we do not offer other services.

Who can see your data

Only the bookkeeper assigned to your file can see your accounting data. Access runs through your accounting software, and you can remove our access at any time from your own settings. We do not share your information with outside parties except as required by law or at your written request (for example, to send clean reports to your CPA at year end).

Your books stay yours

Your books live in your own accounting file. We work inside it; we do not keep a separate copy. When you stop working with us, we remove our access and you keep full ownership of everything.

How long we keep it

We keep messages and quote records only as long as needed to serve you and meet record-keeping obligations. Your accounting data stays in your own file, so its retention is controlled by you and your software provider.

Security

We use read-only bank feeds through your accounting software and rely on its access controls. We do not store your bank passwords. We limit access to the bookkeeper assigned to your file and remove access when a client stops.

Your choices

  • Ask what data we have about you, or request a correction.
  • Ask us to stop working on your file and remove our access.
  • Withdraw permission for us to talk to your CPA at any time.

To make any of these requests, email info@909bookkeeping.com or call 909-324-8880.

Changes to this policy

We may update this policy from time to time. When we do, we will change the "last updated" date at the top of this page.
